2. Data We Collect and Purpose

We collect the strictly necessary data to provide you with the service:

• Registration data: Name, email, and business details to create your account, manage your subscription, and grant you access to the platform.
• Usage and communication data: Information on how you interact with the platform and support notifications, technical or security alerts.
• Billing data (if applicable): Tax data to issue invoices and comply with our legal obligations.
• Technical information (Cookies): We exclusively use technical cookies that are strictly necessary for the operation of the service (such as keeping your session secure). We do not use analytical cookies or advertising trackers. You can find more details in our Cookie Policy.

3. Replan as Data Processor (Data in the Contacts section)

Replan is a B2B software. Third-party data that you enter into the "Contacts" section and the platform's calendar (such as names or phone numbers to schedule appointments) is your sole responsibility.

In this context, you act as the Data Controller, and Replan acts solely as the Data Processor, limiting itself to storing and processing that data following your instructions and for the provision of the software service.

4. Recipients and Integration with WhatsApp (Meta)

We do not sell or transfer your data to third parties. The data stored in Replan is managed using cloud infrastructure and hosting providers under strict confidentiality agreements that comply with the GDPR.

Regarding automated messaging functionality: If you choose to activate the "WhatsApp Booking" service, you will complete an integration process connecting your own WhatsApp account to our platform.

In this case, Replan acts solely as a technology provider facilitating the connection to the Meta API. You, as a business, are solely responsible for using this integration exclusively for transactional communications related to your service (appointment management), as well as for complying with and accepting the policies and terms of Meta Platforms, Inc. The data processing that Meta performs on those messages is governed by its own Privacy Policy.

5. Data Retention and Account Deletion

We retain your personal data as long as your Replan account is active. You have a tool available in your dashboard to delete your account and your workspaces autonomously and irreversibly.

When using this deletion option, your calendar data and your Contacts will be purged and automatically deleted from our servers. We will only block and retain your billing data (subscription payments to Replan) for the legal prescription periods required by tax regulations before their final deletion.

6. Your Rights

As a user, you have full control over your data. You can exercise your rights of access, rectification, erasure, restriction, objection, and portability at any time by writing to privacy@replanapp.com.

For your convenience, you can exercise your right to erasure automatically by deleting your account directly from the platform settings.

If you believe that we have not processed your data appropriately, you have the right to file a complaint with the Spanish Data Protection Agency (AEPD) or the competent data protection authority in your country of residence.

7. Security

We apply industry-standard technical and organizational measures to protect your information and that of your business against unauthorized access, alteration, or data loss.
